Full Job Description

We are working with a leading organization that is in the process of rolling out a new Idea & Opportunity Management platform across their Product, Business, and Technology teams. This platform will support the management and scaling of product ideas and opportunities. Our client is looking for a detail-oriented, proactive, and collaborative individual to assist with the operational side of the platform, ensuring its smooth adoption and ongoing maintenance.

Role Overview:

As an Idea & Opportunity Management Platform Coordinator, you will work closely with a Product Owner to support the ongoing adoption, maintenance, and scaling of the platform. You will play an instrumental role in managing a variety of operational tasks, collaborating with key stakeholders across Product, Business, and Technology organizations, and ensuring smooth project execution through effective change management and communication.

Key Responsibilities:

  • Functional Expertise: Become a subject matter expert for the Idea & Opportunity Management platform. Understand the key functionalities, processes, and tools, and assist in platform roll-out activities.
  • Opportunity Management: Assist with the movement of Ideas into Opportunities, including updating metadata and ensuring accurate tracking of backlogs.
  • Stakeholder Collaboration: Partner with the Product Owner to organize and facilitate weekly meetings with cross-functional stakeholders (Product, Technology, Business).
  • Content Creation & Updates: Support the development and maintenance of training content and communications for platform users.
  • Process Improvement: Provide thought leadership on areas of improvement within the project, contributing ideas that enable greater efficiencies and improving platform adoption.
  • Roadmap Execution: Assist with delivering on strategic roadmap items and contribute to the scaling and continued rollout efforts of the platform.
  • Cross-Functional Coordination: Facilitate coordination between Product, Technology, and Vendor relationship managers to ensure alignment across teams.

Additional Responsibilities:

  • Assist in SharePoint site updates and other related tasks as needed (preferred, but not required).
  • Effectively communicate with remote teams and manage deliverables across a multi-quarter period.

Required Qualifications:

  • 3-5 years (or more) of experience working with large organizations on complex projects or change management efforts.
  • Proven ability to collaborate with remote teams on multi-faceted projects and initiatives.
  • Experience maintaining engagement with a diverse set of business partners across multiple organizations.
  • Strong organizational skills, with a demonstrated ability to manage sequenced deliverables over extended timelines (e.g., multi-quarter projects).
  • Experience working in regulated industries such as Finance or Healthcare is preferred, but not required.
  • Change Management or Project Management experience is a plus, but not mandatory.

Required Skills:

  • Ability to operate autonomously after being provided with clear instructions and tasks.
  • Detail-oriented with strong note-taking and system-learning capabilities.
  • Effective communicator (both verbally and written) with the ability to bridge strategic and tactical discussions.
  • Adaptability to switch between strategic project planning tasks and tactical operational work.
  • Strong collaboration skills with the ability to engage stakeholders across different business units.
  • SharePoint site updates experience is a plus.

Preferred Skills:

  • Experience working with idea management platforms or other collaborative project tools (preferred but not required).
  • Ability to manage project timelines and ensure that cross-functional teams remain aligned.
  • Experience in a regulated industry (finance, healthcare) is a plus.
